Privacy Policy

How we collect, use, share, retain, and protect personal data on this website.

Last updated: 28 July 2026

1. Scope and who is responsible

This Privacy Policy explains how Avinya NeuroTech collects and uses personal data through this public website, including contact, newsletter, waitlist, and booking interactions.

It does not by itself govern patient or clinical data processed through a deployed product. For that processing, the relevant healthcare provider may be the data fiduciary or controller, and product agreements, consent or authorization, clinical protocols, and applicable law will govern.

2. Personal data we collect

Depending on how you use the website, we may collect:

  • contact details, such as your name, email address, telephone number, organization, and role;
  • the content of messages, enquiries, demo requests, newsletter subscriptions, and waitlist registrations;
  • booking details submitted through our scheduling provider;
  • technical data, such as IP address, browser type, device type, pages viewed, referral source, and approximate location; and
  • cookie and analytics identifiers, subject to available consent controls and applicable law.

Please do not submit patient data, EEG recordings, medical records, or other sensitive health information through public website forms.

3. How we collect data

We collect data directly from you when you complete a form, subscribe, join a waitlist, schedule a meeting, email us, or otherwise communicate with us. We also collect limited technical and usage data automatically through server logs, cookies, Google Analytics, and Vercel Analytics.

4. Why we use personal data

We use personal data to:

  • respond to enquiries and provide requested information;
  • arrange demonstrations, meetings, partnerships, or support;
  • manage newsletter subscriptions and waitlist registrations;
  • operate, secure, troubleshoot, and improve the website;
  • measure website performance and understand aggregate usage;
  • prevent misuse and protect our rights, users, and systems; and
  • meet legal, regulatory, recordkeeping, and dispute-resolution obligations.

Where applicable, processing is based on your consent, steps taken at your request, our legitimate interests, performance of a contract, or compliance with a legal obligation. You may withdraw consent at any time, without affecting processing already carried out lawfully.

5. Cookies and analytics

We use essential technologies needed to operate the website and may use analytics technologies to understand site performance. Where consent is required, non-essential technologies should be used only after that consent is obtained. You can review available choices and further details in our Cookie Policy. Browser settings may also allow you to block or delete cookies.

6. When we share data

We may share personal data with:

  • hosting, analytics, email, scheduling, communications, and technical service providers acting for us;
  • professional advisers where necessary for legal, audit, insurance, or compliance purposes;
  • public authorities when disclosure is required by law or necessary to protect legal rights or safety; and
  • a successor in connection with a merger, financing, reorganization, or transfer of the relevant business, subject to appropriate safeguards.

We do not sell personal data. Service providers may process data only for the services they provide and under their own applicable contractual and legal obligations.

7. International processing

Some service providers may process personal data outside your state or country. Where required, we use appropriate contractual, organizational, or legal safeguards and follow applicable restrictions on cross-border transfers.

8. Retention

We retain website personal data only for as long as reasonably needed for the purpose for which it was collected, including follow-up, security, legal, accounting, and recordkeeping needs. Retention periods vary by data type and obligation. When data is no longer required, we delete it, anonymize it, or securely restrict its use. Clinical-product records may have different retention periods under the relevant agreement, healthcare-provider policy, and law.

9. Security

We use reasonable technical and organizational measures intended to protect personal data against unauthorized access, alteration, disclosure, loss, or destruction. Measures are selected according to the nature and risk of the processing. No internet transmission or storage system can be guaranteed to be completely secure.

10. Your rights and choices

Depending on where you live and which law applies, you may have the right to request access, correction, completion, erasure, restriction, objection, portability, withdrawal of consent, or information about processing. You may also have the right to nominate another person, raise a grievance, or complain to a competent data protection authority.

To make a request, email info@avinyaneurotech.com. We may need to verify your identity and may retain a record of the request. Rights can be limited by applicable law, including legal or regulatory retention duties.

11. Children

This website is intended for adults and professional audiences. We do not knowingly collect personal data from children through the public website. If you believe a child has provided personal data, contact us so we can assess and take appropriate action. Product use involving children must follow the relevant healthcare-provider process, authorization, consent, and law.

12. External links

The website may link to third-party sites or services. Their privacy practices are governed by their own policies. We encourage you to review those policies before providing personal data.

13. Updates to this policy

We may update this policy to reflect changes in our practices, services, or legal obligations. We will post the revised policy here and update the date at the top. Material changes may also be communicated through an additional notice where appropriate.
